Choosing business software: a 7-point checklist for owners
Before you sign up for any billing or ERP system, run through these seven questions. They will save you months of frustration later.

Picking software for your business is a long-term decision. Switching later costs time, money and staff patience, so it pays to ask the right questions up front.
1. Does it match how you already work?
Software should fit your workflow, not force you into a new one. Ask for a demo using examples from your own business.
2. Can your existing data come with you?
Customers, products, stock and balances should move over cleanly. Ask who does the migration and how long it takes.
3. Who can see what?
Role-based access means cashiers, managers and accountants only see what they need. This protects you from mistakes and misuse.
4. Where is your data stored, and is it backed up?
Ask whether data is encrypted, how often backups run, and how quickly you can restore if something goes wrong.
5. Does it work on every device?
Owners increasingly check sales from their phone. Make sure reports work on mobile, not just the desktop.
6. What happens when you need help?
Find out who answers support calls, during which hours, and whether training is included.
7. Has it been security tested?
Business software holds sensitive financial and customer data. Ask whether releases are tested for vulnerabilities before they reach you.
